The firm that keeps your books is the firm that files your return. Monthly close, reconciliations and a reporting pack from an Enrolled Agent firm, at a published fee. Books, payroll and sales tax come with the tax engagement rather than on their own: $675 a month on top of the annual fee.
A ledger nobody closed is a return nobody can defend. Deductions lost because the expense was coded to owner draw. A sales-tax registration that quietly went delinquent. Estimates guessed off a number that was never tied to the bank. And then March, when the preparer cannot start until somebody spends three weeks rebuilding the year, at a cleanup fee nobody budgeted for.
We take read-only access to QuickBooks Online or Xero and tell you what state the file is actually in: uncategorized transactions, undeposited funds, balances that do not tie to the bank, payroll posted to the wrong account. The same call settles which tax engagement the monthly sits on top of, because the books are a Concierge band and not a product we sell on its own.
If months or years are behind, that is a one-time fixed fee, quoted before any work starts. Months or years, one quote. Cleanup is never folded into a package and never billed hourly.
Bank and card accounts reconciled, payroll posted, sales tax reviewed, closing entries booked. You get a P&L, a balance sheet and an AR/AP aging with a short written summary of what moved.
The same firm files the return, so the books are kept the way the return needs them. Estimates come off real numbers instead of a guess, and January is a filing rather than an excavation.

Essential and Complete are tax and planning packages and they do not include books. We will not pretend otherwise to win the engagement. Books, payroll and sales tax live on Concierge at $675 a month on top of the annual fee, which covers 100 transactions a month, payroll to 3 people and one sales-tax state. Past those allowances there are published bands, not a renegotiation.
Three years of uncategorized expenses, beginning balances that do not tie, a loan booked as income. We diagnose first, quote a one-time fixed fee, and you approve the number before the work starts. If prior returns have to be amended because of what we find, those are quoted separately, and you see both figures at once.
Xero handles multi-entity books, foreign currency and bank feeds more cleanly, so it is where we start a new file. We stay in QuickBooks Online when the rest of your stack already lives there, and we only migrate when there is a reason to. The month closes by the 10th of the following month, and if a bank feed is late we tell you instead of quietly slipping.
When a monthly close is not enough, because you need a forecast, a cash plan, a lender package or an owner-compensation model, the same firm moves up the stack with you. Same software, same data, no new firm to onboard. That scope is quoted when you need it, never bundled in before you do.
Contractors need job costing and subcontractor 1099s. Restaurants need tips, comps and food cost separated. Real estate needs per-property books, and for Individual Concierge clients with rentals that is its own published band at $150 a month per property. Medical practices need payer deposits tied to remittances. E-commerce needs platform fees and inventory pulled out of the payout instead of buried in it.
How it works: one annual fee, half paid at engagement and half before your return is filed. Everything past the package baseline is a published add-on at a fixed price, so nobody counts forms. Books, payroll and sales tax are the only monthly items, because they are the only monthly work. See the full grid and every add-on or get your price in a minute.
Cody is an IRS Enrolled Agent with an MBA — a solo practitioner with a small support team, working out of Lakeland, Florida. He is also currently in law school.
Every client engagement is led by Cody personally. The firm stays deliberately small so the work stays deliberately careful — and so when the IRS calls, the person who picks up is the person who filed your return.
If yours isn't here, ask it on the intake — we read every one before the first call.
No, and we would rather say that on the page than on the call. Books, payroll and sales tax are the Concierge operations band. Essential and Complete are tax and planning packages that do not include them: $2,850 and $5,350 on one entity, or $950 and $2,450 on a Schedule C with no entity. If you want a bookkeeper on their own, we are the wrong firm and we will tell you so in the first five minutes.
A one-time fixed fee, quoted after we look at the file. It depends on how many months are open, how many accounts have to be reconciled, and whether payroll and sales tax were actually filed. You see the number before any work starts, and it is never spread into the monthly.
You add a published band on top of the $675, you do not replace it: $350 a month to 500 transactions, $2,200 a month to 1,500 with management review added. Payroll goes to $325 a month for up to 10 people and $1,025 a month for up to 25. Sales tax is $100 a month for up to 3 states and $325 a month for up to 8. Past 1,500 transactions, 25 payroll people or 8 states, we quote at intake rather than guess from a grid.
Either. We prefer Xero for a new file, and we work in the QuickBooks Online file you already have when your stack depends on it. We only migrate when there is a reason to, because a migration mid-year adds a reconciliation nobody needed. You keep ownership of the file and the login, always. Switching firms mid-year is routine: read-only access first, a diagnostic, then a handover date.
We move you into fractional CFO scope without changing firms: forecasts, cash planning, lender packages and owner-compensation models, built on the same books. It is quoted as its own scope when you need it.
Yes. Receipts and statements go to a secure portal, we reconcile, you get the reporting pack. We are in Polk County and happy to see you in person; most clients never need to. All of Florida, no office visit required.
No. We are an Enrolled Agent firm: we prepare and plan, and we are enrolled to represent taxpayers before the IRS. If your lender or your investor asked for audited or reviewed financial statements, that is CPA-only attest work, we do not do it, and we will refer you to a firm that does.
A diagnostic first, a cleanup number second, and a monthly close that keeps the return honest all year.
